Inviting Athletes to Your Roster

Three ways to add players to your team — invite link, QR scan, and adding managed profiles directly.

PlayerAid gives you three ways to get athletes onto your roster. Choose the method that works best for your situation.

Send a unique invite link that players can tap to join your team directly.

  1. Open your team and tap Roster
  2. Tap Invite Athletes
  3. Tap Copy Invite Link
  4. Send the link via text, email, group chat, or post it anywhere

When a player taps the link, they're prompted to open or download PlayerAid, then automatically added to your team after signing in.

Tip: The invite link is permanent until you reset it. You can share it as many times as you want.

If you want to stop accepting new joins from the existing link (e.g., after roster lock):

  1. Go to Roster → Invite Athletes
  2. Tap Reset Link
  3. A new unique link is generated; the old one no longer works

Method 2: QR Code Invite

Ideal for in-person situations — tryouts, first practice, parent meetings.

  1. Go to Roster → Invite Athletes → Show QR Code
  2. Display the QR code on your phone or project it on a screen
  3. Athletes scan it with their camera app and are taken directly to the team join flow

Method 3: Add from Your Player List

If you've already created Managed Player profiles for athletes who don't have their own accounts, add them directly:

  1. Go to Roster → Add Athlete → From My Players
  2. Select the player(s) you want to add
  3. Tap Add to Roster

This method does not send any notification — the profile is simply added to the roster.


After Players Join

Once an athlete accepts the invite and joins the team, they appear in your roster with their profile data. From the roster view you can:

  • View each player's profile and contact info
  • See their position, skill level, and key stats
  • Track their RSVP status for events
  • View their payment history for team expenses

Managing Roster Status

To remove a player from your team:

  1. Go to Roster and find the player
  2. Tap their name → Remove from Team

This removes them from this team's roster only. Their PlayerAid account and profile remain intact.


Common Questions

What if a player doesn't have the app? Send them the invite link. When they tap it, they'll be prompted to download PlayerAid and sign up. Their team join is processed automatically once they complete registration.

Can I have players on multiple teams? Yes. A player can be on as many teams as they're invited to, across different coaches and organizations.

Can athletes see other athletes' contact info on the team? Athletes see other athletes' names and profile information on the team roster. Full contact details (phone, email) are only visible to coaches and co-managers.
