Managed Player profiles let coaches and parents create full athlete profiles for players who are too young to have their own PlayerAid account or who haven't signed up yet. These profiles appear on team rosters and can be shared via QR just like regular profiles.
What Is a Managed Player?
A Managed Player is an athlete whose profile is created and controlled by an adult — either a coach or a parent/guardian — rather than by the athlete themselves.
Common use cases:
- Youth athletes whose parents want to start building their profile early
- Athletes on your team who haven't yet downloaded the app
- Athletes who you want to track stats for without requiring them to sign up
Creating a Managed Player Profile
You need a Coach or Business account to create Managed Player profiles.
- Go to the Players section in the app
- Tap Add Player → Create Managed Profile
- Enter the player's information:
- First and last name
- Date of birth
- Sport(s) and position(s)
- Primary guardian information (name, email, phone, relationship)
- Optionally add a photo, stats, and other profile details
- Tap Save
The profile now appears in your player list and can be added to any of your teams.
Adding a Managed Player to a Team
From any team's roster screen:
- Tap Add Athlete
- Select Choose from My Players
- Find the managed player and tap their name to add them
Editing a Managed Player's Profile
You can update a managed player's profile at any time:
- Go to Players → [Player Name]
- Tap Edit Profile
- Make your changes and tap Save
What Happens When the Athlete Signs Up
If the athlete creates their own PlayerAid account, they can claim their managed profile:
- The athlete signs up with the same email address listed in their managed profile
- PlayerAid detects the match and prompts them to claim the profile
- Once claimed, the athlete controls their own profile and the coach's management access is adjusted accordingly
If they sign up with a different email, contact support@playeraid.org to merge the profiles.
Privacy and Consent
By creating a Managed Player profile, you confirm that:
- You are the legal parent, guardian, or authorized coach of the athlete
- You have the authority to submit their personal information
- You have read and agree to our Privacy Policy regarding minor data
Guardian information you provide (name, email, phone) is stored securely and is not shared publicly. It is visible to co-managers on your account.
Common Questions
Can a managed player's parent see their profile? Yes. Share the QR code from the player's profile view. Anyone with the link can view the public profile.
Can I have managed player profiles without a team? Yes. Managed player profiles exist independently and can be added to any number of teams.
Is there a limit to how many managed players I can have? There is no hard limit on managed player profiles.
